Definitions and how to report correctly
Authorised booking number
This number is unique to each BEA and identifies the BEA holder. It's a five or six-digit number printed on the BEA approval that was e-mailed or mailed to the contact person nominated in the BEA application.
You can also search for these details on the Personalised Transport Public Register.
- Not to be prefaced with text ‘BEA’ – numerical field only
- Do not add a Customer Reference Number (CRN)
- Do not add a Drivers Authorisation (DA) number

Driver authorisation number
- This is on a driver's Industry Authority card that is issued when they are granted authorisation — it's also known as their CRN
- This is NOT the vehicle registration plate

- This is the booked hire service licence number, limousine licence number, or taxi service licence number.

What if I didn't operate or book any trips during the reporting period?
If you're not operating yet or haven't taken any bookings during a reporting period, you need to advise TMR by e-mail at the end of the quarter.
If you haven't provided any trips in a quarter but you have affiliated vehicles or drivers, you still need to submit a quarterly report.
You can request an alternative version of the reporting forms that allow you to leave some worksheets blank. To do so, please contact PT_Data_Reporting@tmr.qld.gov.au.
When you receive the alternative form, include the details of any affiliated drivers and available vehicles and leave the rest of the form blank. In your covering e-mail, tell TMR you are not operating yet or haven’t taken any bookings for the quarter.
What if I subcontracted a job to another BEA during the reporting period?
BEA holders need to provide a report that covers all the trips they arrange. If you ‘subcontract’ bookings to another BEA holder or driver during a reporting period — for example, to help meet demand for a large event — you need to include the driver and vehicle details in your report. This is because you are the BEA holder that arranged the trip.
