Renew your Approved Inspection Station approval
Your Approved Inspection Station (AIS) approval is granted for 1 year. To continue operating as an AIS, you must apply to renew your AIS approval.
The AIS Administrator will send you a renewal reminder and AIS renewal application (form 4762) before the expiry of your AIS approval.
If you have chosen to receive communications by email, we will email your renewal reminder and AIS renewal application form. Otherwise, we will post them to you.
If you change your email or postal address, you must notify the AIS administrator within 14 days. This is to make sure that you receive your renewal reminder and AIS renewal application before your AIS approval expires.
Failing to renew your AIS approval
It is your responsibility to make sure you apply to renew your AIS approval before it expires. If you haven’t received an AIS renewal application, contact the AIS Administrator.
If your AIS approval expires, you cannot approve or issue certificates using Inspection Certificates Online (ICO) and you cannot approve or issue handwritten inspection certificates.
You can only issue inspection certificates after your Approved Inspection Station Scheme renewal application (F4762) is approved and you have received your new AIS approval.
Lapsed AIS approval
Your AIS approval will lapse if your AIS approval has been expired for 90 days or more. If your AIS approval lapses, you will need to make a new AIS application, provide all relevant supporting information and pay the relevant application fees. Read Apply to be an Approved Inspection Station.
If your AIS approval lapses, you won't be able to issue certificates using ICO or approve and issue handwritten certificates until you have received your new AIS approval.
Before you apply for renewal
Check your current AIS approval notice details
Go to the AISC website to check if your company or business name are current and registered with a future renewal date.
If your AIS business name and/or AIS approval holder name has changed, your renewal application will not be processed, and you must make a new application. Read Apply to be an Approved Inspection Station and Making changes to AIS business structure.
Check your premises, equipment and other requirements
Before you make your AIS renewal application, make sure:
- your fixed AIS premises complies with all local, state and commonwealth government requirements and regulations applicable to the operation of your AIS. For example, you must ensure you have local government approval to conduct vehicle inspections at your AIS premises
- your AIS has the required equipment for inspecting the vehicle types listed in your AIS approval. The required equipment must be maintained so it effectively and efficiently performs the function it is designed for
- you have read and reviewed the current AIS requirements.

Make your application
You have 2 ways to make your AIS renewal application:
- an online application (preferred option)
- an application in person at a transport and motoring service centre.
Making an online application
To make an online application:
- Complete the relevant sections of the Approved Inspection Station Scheme Renewal Application (form F4762).
- Email the completed application to the AIS Administrator at [email protected] and tell us that you would like to pay the application fee online.
- Once your application is received, you will be emailed instructions on how to pay your fee online. Your renewal application is not completed until payment is received by us.
Making an application in person
To make an application in person:
- Complete and sign the relevant sections in the Approved Inspection Station Scheme Renewal Application (form F4762).
- Pay the AIS renewal application fee at a transport and motoring service centre.
What happens after I apply?
Once we receive your application, we will assess your experience, qualifications as well as your suitability to be an approval holder.
We will obtain a criminal history report, including a New Zealand criminal history report (if required) and your traffic history.
We do not accept criminal history reports issued directly to you by QPS (or any third party).
We will also look at your accreditation history if you have been accredited before.
Assessing your criminal and accreditation history
If you have a criminal or accreditation history, we will consider:
- how the offence/s is/are relevant to the role you have applied for
- how long ago the offence/s was/were committed
- any penalty imposed
- is there a pattern of offending.
If you have a criminal or accreditation history that we believe makes you unsuitable to be an approved person, your application will be refused.
Charged but not yet convicted
We may refuse your application on the basis that you have been charged with (but not yet convicted of) a disqualifying offence. A disqualifying offence is an offence under the Criminal Code Act 1899.
Being charged with an offence does not mean your application will be refused.
We may ask for more details of the charge(s) and consider the relevance to the role of an approval holder before making a decision.
Consideration of other factors
We will consider any relevant information you may want to provide.
This might include:
- circumstances that explain your criminal or accreditation offence history
- impact on the availability of services provided under the scheme that may result from the refusal of the application
- your qualification and work history, and
- any other material, for example, personal references provided where the person is aware of your application and your criminal or accreditation offence history.
Note that your personal circumstance will not outweigh our consideration for public safety, even if refusing your application would cause financial hardship.
Approving your application
If you application is approved, an approval document will be issued. This will show when your accreditation expires and if any conditions apply.
Application refused
If you application is refused, we will send you a notice which details:
- the decision
- the legislation that applies in making the decision
- the facts relied on in making the decision including any offences considered
- any evidence or other material considered in reaching the decision
- the reasons for the decision, and
- your rights for a review of and/or appeal against the decision.
