When an Approved Inspection Station must have a nominee and how to apply

A nominee is a person you can nominate to be responsible for running your Approved Inspection Station (AIS) and supervising approved examiners. Once approved, nominees can act on your behalf and can sign and issue inspection certificates completed by your approved examiners. 

Ensure that any person you nominate as your nominee:

  • is an adult
  • is an appropriate person to be a nominee
  • holds a position in which they are responsible for the conduct of your AIS business at the fixed AIS premises for which you hold AIS approval.

When is an AIS approval holder required to have a nominee?

Individual

You need to have a nominee if you're the AIS approval holder and may not be present to supervise work at the AIS on a daily basis.

Partnerships

If you're a partnership, you must nominate someone to act as your nominee. You, your partner or another person may apply to act as your nominee.

Companies

If you're a company, you must nominate someone to act as the company’s nominee.

Trusts

If you're an individual trustee of a trust and you will not be present to supervise work at the fixed AIS premises on a daily basis, you must nominate someone to be your nominee. 

If you're a company director and the company is a trustee of a trust, you must nominate someone to be the company’s nominee.

When you nominate someone to be your nominee, the nominated person must:

As the nominated person is applying, we'll write to them letting them know the outcome and if we need more information, we'll contact them by email or phone. 

If we approve their application, we'll provide them with a letter approving them to act as your nominee. If we refuse their application, we'll provide them with an information notice providing reasons why their application was refused and their appeal options.

Removing a nominee

If a nominee is no longer employed at your AIS, their nominee approval ends. You must let the AIS Administrator know in writing within 14 days of the nominee ceasing to be employed at your AIS. You must include the nominee's name and the date they ceased employment at the AIS for which you hold AIS approval.

You can email this information to the AIS administrator or complete the Approved Inspection Station Scheme Change/Replacement (form F4638) and lodge it with the AIS Administrator by email or post.

If your AIS is required to have a nominee, your AIS approval is automatically suspended until you nominate someone else and we have approved them to be your nominee.
